Veitch Ops ("we", "us", "our") provides remote dispatch cover for independent taxi, private hire, courier and logistics operators. This page explains what personal information we collect through this website, why, and what your rights are.
What we collect
When you submit the enquiry form on this site, we collect whatever you enter into it — typically your name, company name, phone number, email address, the dispatch system you use, roughly how much cover you need, and any message you include. We don't collect anything beyond what you choose to submit.
Why we collect it
Solely to respond to your enquiry and, where relevant, prepare a quote for dispatch cover. We don't use it for marketing lists, and we don't sell or rent it to anyone.
Legal basis
We process this information under legitimate interests — responding to a business enquiry you've initiated is a reasonable and expected use of the details you've provided for that purpose.
Who has access
Form submissions are processed by Netlify, our website hosting provider, purely as the technical mechanism that delivers your enquiry to us — they don't use your information for their own purposes. Beyond that, access is limited to authorised Veitch Ops Ltd personnel and to service providers acting on our instructions — for example our email provider and the business systems we use to manage enquiries and client records. Those providers process your details only as necessary to deliver those services to us, and are not permitted to use them for their own purposes.
How long we keep it
Where an enquiry does not lead to a working relationship, we keep the details for up to 24 months so we can recognise repeat contact and respond in context, after which they are deleted. If you become a client, we keep your details for the duration of the working relationship and for six years afterwards, which is the period we are required to retain business and accounting records. You can ask us to delete your details sooner — see 'Your rights' below.
Analytics and advertising measurement
We use Cloudflare Web Analytics to understand how the website is used — for example visitor numbers, popular pages, traffic sources and website performance. Cloudflare Web Analytics is privacy-focused and does not use cookies, local storage or fingerprinting to identify individual visitors.
We never send personal information into analytics. Names, email addresses, telephone numbers, company names and anything you type into a form stay out of it entirely — we only record that an action happened, never who did it.
We also use the Meta Pixel to measure the effectiveness of Facebook and Instagram advertising. The Meta Pixel is an optional advertising technology supplied by Meta Platforms. It may collect information about your browser, device, pages viewed and actions taken on the site, and may associate that activity with information held by Meta.
The Meta Pixel does not load unless you actively accept marketing cookies through our consent banner. Rejecting marketing cookies does not affect your use of the website. Your choice is stored in your browser so the site can remember it. You can clear that choice through your browser storage settings and choose again on your next visit.
We do not deliberately send names, email addresses, telephone numbers, company names or the contents of website forms to Meta through the Pixel.
Applicants and independent suppliers
This section applies if you register your interest through our Work with us page.
What we collect. Your name, any trading name, your town or county, email address, telephone number, optional LinkedIn profile, details of your dispatch experience and systems knowledge, your indicative availability, information about your working setup, your answers to our application questions, and the country and time zone you work from, and whether you have a secure remote workspace and reliable internet.
What we deliberately do not collect at this stage. We do not ask for your date of birth, nationality, passport, DBS certificate, any criminal-record information, health information, bank details, tax details, National Insurance number, or information about protected characteristics. Please do not send any of these through the website form. Where any of this is genuinely needed later in the process, we will collect it separately, securely, and only where lawful.
Applicants outside the UK. We welcome interest from experienced dispatch professionals in other countries. If you register from outside the UK, your information is stored and reviewed in the UK. Where an assignment would involve access to client systems containing UK personal information, additional contractual, security or data-transfer safeguards may be required, and we will confirm what applies before any assignment is offered. We do not ask for your nationality.
Why we collect it and our lawful basis.
Who sees it. Applications are reviewed by our team. Form submissions are processed by Netlify, our website hosting provider, purely as the technical mechanism that delivers your application to us. We also use standard business systems (such as our email provider) to store and manage applications. Applications are kept separate from our customer and sales records.
References and verification. We will not contact referees without asking you first. Identity, right-to-work or right-to-operate, and Basic DBS verification may be required before any assignment, and would be arranged separately with you at that stage.
How long we keep it. If we do not take your application further, we delete it within six months. If we later ask and you separately agree to join our talent pool, we may retain your details for up to 12 months from that agreement so we can contact you about suitable future opportunities. You may withdraw that permission or ask us to delete your details at any time.
Your rights. You can ask what we hold about you, ask us to correct or delete it, or object to how it is used. Email info@veitch-ops.co.uk.
How we protect it. Applications are transmitted over an encrypted connection, access is limited to authorised team members, and application data is not exposed in the website's code or shared with website analytics.
